A useful quotation starts with a clear brief. Before ordering custom safety signs, gather the message you need, the number of signs, their intended locations and any project requirements. This helps our team discuss the available options and identify details that need confirmation.
Use the steps below whether you are ordering for an office, factory, warehouse, school, shop or another premises.
1. Prepare a list of the signs you need
List each sign separately. Include its purpose and the place where it will be displayed. For example, an entrance notice, a restricted-access sign and a direction sign may each need different wording and dimensions.
You can browse our Safety Signs collection for examples. If you find a design close to your requirement, send its link or product code and explain the changes you want.
2. Confirm the exact wording and language
Write the complete message you want printed. Specify English, Urdu or a bilingual layout, and include any department name, room number, telephone number or other information that belongs on the sign.
Check spellings before sending the brief. If your workplace already uses approved wording or symbols, provide those files or references. Tell us which elements must remain unchanged and where you would like help with the layout.
3. Share dimensions and the intended location
Provide the required width and height, with the measurement unit clearly stated. If you have not selected a size, describe the available display area and where people will view the sign from.
A photograph of the location can help explain the requirement. Include anything that may affect placement, such as a narrow door panel, surrounding notices, shelving or the direction from which people approach.
4. Describe the environment and material requirements
Tell us whether the sign will be used indoors or outdoors, and whether the location is exposed to sunlight, rain, frequent cleaning or other relevant conditions. Include the surface on which it will be installed and any mounting preference.
If your project specifies a material, finish, symbol standard or other technical requirement, send that specification with your enquiry. Ask our team to confirm the available product options against it before ordering.
5. Send the artwork and branding details
If the sign needs your company logo, provide the original artwork file when available, together with a clear reference image. Explain whether you want an existing design reproduced, an existing sign amended or a new layout prepared.
Identify the wording, symbols, colours and branding that need to appear. For a bilingual sign, make the intended order of the languages clear. Ask which file format the team needs before arranging any design work.
6. State quantities for each design
For an order containing several designs, give the quantity beside each one. For example, list entrance notices, room labels and directional signs as separate items, even when they share a size.
If different departments or branches require different versions, name each version clearly. A simple list or spreadsheet with design, size, quantity and location can help prevent confusion when discussing the quotation.
7. Include your delivery city and deadline
Share the delivery city, delivery address when available, and the date by which you need the order. State whether the date is a project deadline or a preferred arrival date.
Ask for confirmation of availability, any production requirements, delivery arrangements and the quotation's terms. If the order is for several locations, explain whether it needs to be packed or dispatched separately.
8. Review the final details before approval
Ask for an artwork proof where applicable and review the wording, spelling, symbols, language, dimensions and logo placement. Check that each approved design matches the corresponding quantity in your order.
Request written confirmation of the agreed material, finish, quantity, price and timing. If you make a change after reviewing a proof, ask for the revised details to be confirmed before giving your approval.
